
OnSet Procedures
General Guidelines
- Establish a single line of communications, commands only come from the VP supervisor
- Try to give an approximate time estimate how long a task takes
- Focus on the shoot and know what is going on (absolutely no staring into your phone, personal emails, chitchat, WhatsApp etc. on set)
- If you see something breaking or expect something to break, speak up
- Don’t touch anything when we are rolling
- Wear your Darkbay Hoodie 🙂
- Quick team meeting in the morning before shooting starts (?)
Comm Rules
- Keep Communication lines free, no clutter
- Keep messages short and to the point
- Speak loud and clear (tell you colleagues if they are inaudible)
- Always confirm that you have received a task (react if you realize that the person who was adressed is not responding)
- Check that your radio is working in the morning or after lunch („Comm check“ - „good check“)
- If you want to get someones attention in a bigger group, you can adress them directly by saying his/her name first followed by „for (your name)“. The receipient follows by „go for (his/her name)“.
Example: Jesse wants to get Tobi‘s attention: „Tobi for Jesse“ … „go for Tobi“ … „your message“
- How to use the radio during troubleshooting
(press, breathe (wait 1 second), talk)
- Always be on radio / tell your colleague when you're goint to the toilet
OnSet Roles
VP supervisor
- Be on set next to DoP & Director
- Give tasks/commands to brainbar
- Handle quick changes on the iPad remote app
Tracking TD
- Keep an eye on the crowns and the tracking quality
- Re-wand, recalibrate when necessary
- Make sure recording starts properly
Pipeline TD / Switchboard Operator
- Keep and eye on performance in stage monitor
- Keep Shot spreadsheet up to date with approx. timestamp
Unreal Operator
- Make live changes to the scene during the shoot (not when rolling)
- Expose parameters to the iPad web remote
- Create a snapshot after the cut and note down sequence/take and anything specific (copy paste from shot spreadsheet)
LED Technicians
- Keep an eye on wall temperature and broken IMs
- Rotate the turntable, measure for rotation
Shoot procedure
- Switchboard OP adjusts sequence/take in Switchboard (prep)
- VP supervisor calls out “Roll VP”
- Switchboard OP starts recording
- Tracking TD: “tracking rolling” or signals to Switchboard OP with Thumbs UP
- Switchboard OP calls out “VP rolling”
- Unreal OP writes down changes from previous take in Shot Spreadsheet
- (If Switchboard OP sees any potential problems during the take such as performance hickups etc., he updates shot spreadsheet)
- VP supervisor calls out “VP cut”
- Switchboard OP stops recording, freezes Wall
- Tracking TD confirms recording has stopped
- Unreal OP creates level snapshot and copy/pastes notes & sequence/take into the description field
Preflight Checklist
- Sync check 24fps/10bit on all nodes (DarkBay Hud)
- Sync check in Switchboard
- Sync check in Unreal with blue balls
- Calibrate Tracking Volume
